Award SummaryPage 14 of 33 <br /> <br /> <br />4.2 MANAGEMENT REPORTS TO PARTICIPANT: <br /> <br /> <br />4.2.1 Contractor shall provide an on-line or software driven database that provides <br /> <br />Participant access to all Participant account and transaction related data. Data shall be <br /> <br />easily queried and have the ability to generate varied reports based on Participant needs. <br /> <br />Data shall be posted to on-line or software driven database within 24 hours of receipt by <br /> <br />Contractor. Contractor shall provide on-line access to the software database at no cost to <br /> <br />the State or Participant. <br /> <br /> <br />Fleet Commander Online creates the following reports: <br /> <br /> <br />My Reports: Creates a host of customized reports that provide analytical data in <br /> <br />a format that best suits the Participant. Once reports are created, the reports can be <br /> <br />scheduled to and delivered to Participant on a daily, weekly or monthly basis. These <br /> <br />reports must be able to be shared with other agencies or Participants. Contractor shall <br /> <br />assist Participants in developing customized transaction and exception reports. <br /> <br /> <br />Inventory Reports: These reports allow fleet administrators to assemble real- <br /> <br />time inventory information. The individual card, vehicle and driver profiles generated in <br /> <br />this series of reports shall provide organized details of all fleet aspects including card <br /> <br />report, vehicle report and driver reports. <br /> <br /> <br />Transaction Reports: Every transaction made on the fleet card can capture 93 <br /> <br />separate data elements. These reports allow users to create customizable transaction <br /> <br />reconciliation and vehicle management reports with the flexibility for users to drill down <br /> <br />into transactional data and create customized reports using all data elements. <br /> <br />Participant users can also define the column appearance, naming, sort order, date range and <br /> <br />specific account or organizational level. These reports shall allow the Participant to <br /> <br />create customizable transaction reconciliation and vehicle management reports. Reports <br /> <br />include Transaction Detail Report, Transaction by Vehicle Report and Transaction by Driver <br /> <br />Report. <br /> <br /> <br />Management Reports: Participants shall be able to track every dollar spent in a <br /> <br />variety of categories with the following reports: <br /> <br />Top Dollars by Merchant Report <br /> <br />Cards with High Dollars for Non-Maintenance Transaction <br /> <br />Reports <br /> <br />Cards with High Gallons Report <br /> <br />Cards with Non-Fuel Purchases Report <br /> <br />Cards with Highest Numbers of Transactions <br /> <br />Cards by Multiple Purchases per Day <br /> <br />Cards by Purchase Method <br /> <br />Fuel Economy by Vehicle ID <br /> <br />Fuel Economy by Vehicle Description <br /> <br />Organization Summary Report <br /> <br />Vehicle Cost Analysis <br /> <br /> <br />Exception Reports: <br /> <br />Percent of Limit Report <br /> <br />Transaction Exception <br /> <br /> <br />Ad-Hoc Reporting: Fleet Commander Online shall also allow for ad-hoc customization of the <br /> <br />reports mentioned above and allow the Participant to save and schedule these reports once a <br /> <br />desired format has been created. <br /> <br /> <br /> <br />4.2.2 The Contractor shall have the capability, at the Participant's request, to direct <br /> <br />levels of reports to appropriate Participant departments/offices. Each Participant shall <br /> <br />have the opportunity to choose which reports to receive. In addition, the Contractor must <br /> <br />have the capability to provide all reports electronically or in paper format upon request <br /> <br />of the individual Participant. <br /> <br /> <br />The Voyager Fleet Commander Online web-based application will provide each Participant with <br /> <br />state-of the-art user-role customization features. Access to Fleet Commander Online may be <br /> <br />determined by both organization and area of functionality.
