Reporting recommendations and actions of the Executive Board along <br /> with the minutes. <br /> d. Filing all documents and essential correspondence. <br /> e. Maintaining one set of keys to the safe deposit box. <br /> f. Conducting correspondence of the corporation u requested. <br /> g. Advising the President/Track Operator on matters relating to the by -laws. <br /> h. Acting u Chairperson of Election Committee. <br /> i. Maintaining adequate Property Insurance <br /> j. Performing such other duties u may be assigned by the Executive Board. <br /> S. Treasurer. The Treasurer shall be responsible for. <br /> a. Receiving funds and issuing receipts. <br /> b. Making disbursements as authorized by the Executive Board and/or <br /> majority membership vote. <br /> c. Keeping accurate records of all funds. <br /> d. Submitting the checkbook to another Executive Board Member for an <br /> informal inspection on a bi-monthly basis. Any interested member may <br /> sit in on this informal inspection. <br /> a. Presenting an itemized statement of receipts and disbursements for each <br /> meeting. <br /> f. Submitting books and financial statement for audit at the close of the <br /> fiscal year and/or at the request of the Executive Board. <br /> g. Advising the President/Track Operator on matters pertaining to fiscal <br /> policy. <br /> h. Acting u liaison with vendors. <br /> i Coordinating fund raising activities. <br /> j. Sending sanction fee and TORF Sheets in after each race. <br /> k. Performing such other duties as may be assigned by the Executive <br /> Board. <br /> 1. Maintaining and monitoring the P.O. Box. <br /> ARTICLE VI. MEETINGS AND QUORUMS <br /> SECTION A: Meetings. <br /> 1. Regular Meetings of Emerald Valley BMX shall be held the third <br /> Tuesday of every month excluding the month of December. The location is to be <br /> announced on a regular basis at the track. <br /> 2. Special meeting say be called by a majority of the Executive Board. <br /> 3. An Emergency Executive Board meeting can be called by any Executive <br /> Board member. Three Executive Board members must be present at thls meeting. <br /> Only unanimous decisions wilt be accepted at these meetings. <br />
