2. Facilities development and facilities maint- <br /> enance activities will be assigned as a primary <br /> responsibility to separate work groups. <br /> The facilities proposal continues and further develops the current responsi- <br /> bilities for Capital Projects and Real Property Management within Public Works <br /> Engineering's Facilities Projects and Program Management Section. The portion <br /> of facilities planning which deals with new facilities development and /or <br /> space usage issues are also to be included within the Facilities Projects and <br /> Program Management Section. Currently, the Facilities Projects and Program <br /> Management Section, like most engineering sections in general, has a strong <br /> focus on the construction of new assets or those large rehabilitation projects <br /> requiring special expertise (Capital Projects). Continuing to assign these <br /> responsibilities to this section assures the presence of qualified profes- <br /> sional expertise and an enthusiasm for the proper design and construction of <br /> Capital Projects. <br /> Facilities Maintenance and that portion of facilities planning dealing with <br /> facilities asset inventories, condition audits, and maintenance management of <br /> existing facilities will be incorporated as a working section within the Main- <br /> tenance Support Section of the Maintenance Division of the Public Works Depar- <br /> tment. The Maintenance Support Section, like most maintenance sections in <br /> general, has a strong focus on the day to day maintenance management of exist- <br /> ing assets. Assigning these responsibilities to this section assures the <br /> presence of maintenance minded personnel geared to accomplish the day to day <br /> maintenance needs. <br /> Dividing the responsibilities along these pre - established organizational lines <br /> will serve to promote each while at the same time providing a balance of <br /> consideration in the establishment of policies and priorities for fulfilling <br /> facility program needs. <br /> 3. Regularly published project status report <br /> Insuring availability to all user groups, an on -line status report will be <br /> produced that lists all approved capital and maintenance projects which are to <br /> be completed. Data listed will include: date submitted, user department <br /> contact person, priority assigned, current status, and an estimated completion <br /> date. It is expected the capital portion of the list will be updated on a <br /> monthly basis while the maintenance portion will be updated on a weekly basis. <br /> FACILITIES MANAGEMENT SERVICES TO BE PROVIDED <br /> GENERAL While each specific project will have to be evaluated and assigned by <br /> the facilities management team with input from the Facilities Board and the <br /> user departments, a very simplistic and general definition for the separation <br /> of activities and services to be performed by Facilities Projects and Program <br /> Page 2 <br /> Facilities Proposal <br /> 09/06/89 jrm <br />
