Procedures for Scheduling Eugene LRCS Department Facilities: The request will <br /> be submitted to the LRCS Department by 4J's Facilities Management Office three <br /> times a year: For swimming programs, requests will be submitted by July 1, <br /> prior to the next school year. For other programs during the school year, <br /> requests will be submitted prior to the first day of school for programs running <br /> through January and prior to January 1, for programs beginning after February 1, <br /> and updated at least two weeks prior to each term or semester. A written reply <br /> approving or disapproving the requests will be prepared within 30 days after <br /> receipt of the requests and sent to the Facilities Management Office. (City use <br /> request forms should be turned in to the City's facility use supervisor.) <br /> III. Areas That Will Be Available: <br /> A. District 4J Schools: Areas listed below located in the City of Eugene providing <br /> they are not being used by the school, can be adequately staffed, and the <br /> activity does not conflict with the school's programs or the programs of the <br /> youth organizations covered in District 4J's "Youth Organization Use of Facili- <br /> ties Guidelines ". <br /> 1. Outdoor: All outdoor sports areas. <br /> 2. Indoor: Gymnasiums, auditoriums, classrooms (including shop facilities, <br /> arts and crafts rooms and music rooms) multipurpose rooms, cafeterias, and <br /> restrooms. (Showers and dressing rooms are available only if requested <br /> separately and approved by the building principal.) By Board Policy, during <br /> . cooler weather thermostats will be set at a minimum of 55 degrees after ; <br /> working hours and on days when school is not in session. <br /> B. City Facilities: Areas listed below within the City, providing they are not <br /> being used by the City, can be adequately staffed, and the activity does not <br /> conflict with City programs. <br /> 1. Outdoor: All outdoor areas, including tennis courts, swimming pools, ball <br /> fields, and any of the parks. <br /> 2. Indoor: Sheldon Pool, Sheldon Center, Amazon Center, Westmoreland Center, <br /> Washington Center and any of the other department buildings or facilities <br /> located within District 4J. <br /> IV. Supervision: <br /> A. The two organizations must agree on the number of supervisors needed. <br /> B. As long as the supervisor is qualified and mutually acceptable, he or she does <br /> not need to be an employee of the organization whose building is being used. <br /> C. The supervisor must not be paid by both organizations at the same time to do two <br /> jobs simultaneously, or paid double for doing one job. <br /> -2- <br />
