<br />Quarterly AST /TE Meeting Minutes -- October 11, 2012 <br />Minutes Prepared by Patricia A. Scarci <br /> <br />1) Special Telephone Coordinator Update: With the move to a VOIP phone system, we are also <br />changing the management model. The City will now manage its own phone system. This support <br />model also includes the ISD Service Desk & Technician providing core support for VOIP phone <br />users. <br /> <br />With that in mind, a new Move-Add-Change (MAC) Form for has been designed to include VOIP <br />phone change requests, as well as PC move and cabling requests. Many Telephone Coordinators <br />are TE's, and put both phone and PC move requests in at the same time. Creating a single form <br />for phone changes, PC moves or cable requests, will help us track requests accurately and <br />complete the order more efficiently. The new form was reviewed and suggested changes will be <br />incorporated in the next draft. <br /> <br />2) VOIP Project Update: Over 550 lines, or 25% of the City, have moved to the new VOIP / Cisco <br />phone system. The majority of these were completed over a 90 day period when HR, Risk <br />Services, Muni Ct., EPD, CMO and the City Prosecutor moved to new offices. This was a massive <br />project that was exceptionally well executed by the SDI Team, Network Team, as well as <br />assistance from ASTs, Telephone Coordinators and TEs in each of these work groups. A current <br />list of targeted VOIP sites is posted on the Ceshare SDI page. <br /> <br />3) IE9 Upgrade: This is being rolled out to approved (tested) sites by the Desktop team. It will <br />use WOL and be deployed overnight. Users may find their PCs on in the morning. Laptops must <br />be docked and connected to the network. <br /> <br />4) Equipment Upgrades / Lease Program: This is an annual process, with approximately 300 PCs <br />/laptops targeted each year for upgrades or replacements. Working with Greg Gibson (ECO) <br />Tech’s will contact ASTs/TEs to coordinate equipment changes at each work group. <br /> <br />New equipment is always being tested and reviewed, such as the current CTL Ivy Bridge business <br />class system --with a faster processor and low overall cost. Additional testing is in progress. <br />Requests to look at our test other new equipment should be directed to the ECO. <br /> <br />5) ISD reorganization: With Peter Shum’s departure (went to EWEB) ISD has been reorganized. <br />One key change is the role Jody Bleisch will have at ISD: He will now supervise the Service Desk <br />and Technicians, be the Project Manager for VOIP, and continue his assignment with DDS. <br />Patricia will take over management of the Network team and Desktop team, and Jody will report <br />to her.
