The City must give primary consideration to the choice expressed by the <br />person but is not required to provide personal devices, such as reading glasses, for personal use or <br />study. The City is entitled to consider the resources available for use in responding to a request for <br />an alternative format. The PRC should consult with legal counsel if there is a question about the <br />City's obligation under the ADA in response to a particular request. <br />Public notices announcing the availability of public documents for review must include a <br />statement that the documents maybe made available in alternative formats with 48 hours' notice. <br />6. Records of Requests. Each PRC and the City Recorder shall maintain a log of all <br />Level 1 and Leve12 written requests received and the responses thereto. <br />II. A copy of this Order shall be forwarded to each Department and Division Manager, <br />who shall, within 10 days of its receipt, forward to the City Recorder the name of the person <br />designated as the Public Records Coordinator for their respective Departments/Divisions. <br />III. The City Recorder is requested to incorporate the above Policies and Procedures for <br />Responses to Public Records Requests .consisting of Sections 1 through 6, in the City's General <br />Policy and Procedures Manual, replacirig the existing Section 2E-1(h). <br />The foregoing Policies and "Procedures for Responses to Public Records Requests is <br />adopted and effective this 7th day ©f January, 2004. <br />~ ~ ^ <br />Dennis M.
