SrLi~~"1 <br />OFFICE <br />SUPPORT <br />The Office Support work section is responsible <br />for coordinating the City and MWMC budgets, <br />maintaining personnel records, providing recep- <br />tionistduties, coordinating payroll and data entry, <br />processing expenditure data, managing acentral- <br />izedfiling system, and maintaining all office sup- <br />^ START-UP <br />At start-up in July 1984, only an office manager <br />and Clerk II worked for the Administrative Ser- <br />vices section. The office manager's first duties <br />included setting up standard office procedures for <br />^ STAFFING <br />The office support staff has grown from two fu11- <br />timeemployees (at start-up) - an office manager <br />and a Clerk II - to five employees, including a <br />data control clerk (later reclassified to a program- <br />mer), a half-time Clerk II (later reclassified to a <br />Data Control Clerk I), and one-and-a-half Clerk <br />II's. <br />OFFICE MANAGER <br />The primary job responsibilities of the office man- <br />ager are coordinating budgets for the division, <br />plies for the Wastewater Division. This section <br />also provides data entryy andprogramming services <br />for database programs that run on personal com- <br />puters, including the Maintenance Management <br />System. <br />the newly established Wastewater Division and <br />developing a tracking system for the regional <br />MWMC budget. <br />supervising the office support staff, monitoring <br />division expenditures, andcoordinatingdata entry <br />for the maintenance management system. Budget <br />coordination duties include researching, prepar- <br />ing, and distributing reports; maintaining spread- <br />sheets; and reformatting the budget for presenta- <br />tion to the MWMC. <br />The office manager is also responsible for main- <br />tainingthe division's personnel files, coordinating <br />purchases of new office furniture, coordinating <br />employee travel, training, and travel reimburse- <br />ments, andmonitoringand coordinating payments <br />for employee memberships, subscriptions, certifi- <br />cations, and licensing. This position also main- <br />tains workers' compensation and grievance files <br />and works with supervisors to process grievance <br />documents. <br />DATA CONTROL CLERK III <br />PROGRAMMER <br />This position was originally responsible for pro- <br />cessing payroll and expenditures using the City's <br />*CEORDR purchasing system.
