Management Practices Self-Assessment <br /> Summaries of key activities are provided to all employees through monthly reports prepared by the <br /> director's executive assistant and posted on the internet. A work plan and annual report is published each <br /> year by the department. Copies of the work plan and annual report are distributed to key staff, and all staff <br /> has access to these documents via the intranet. <br /> Each division has its own specific schedule ofall-division meetings, workshops, safety days and/or training <br /> days to convey information and get feedback from division employees. At the sections and team level, <br /> supervisors typically hold weekly or daily meetings or briefings to communicate essential information to <br /> staff and disseminate information and assignments for work to be completed that particular day. The <br /> information that is shared is geared toward the needs of the work group. <br /> Information concerning job postings/vacancies is distributed via a-mail from Human Resources Division <br /> and is posted on specific bulletin boards. Work schedules for union represented employees are also to be <br /> posted in a conspicuous location, per the AFSCME contract. Changes to existing policies or policy <br /> language is communicated via a-mail and in many instances, is sent via courier or by regular mail.to each <br /> employee. <br /> Examples of newsletters include the "Roosevelt Rumble" which is distributed to the 200+ Maintenance and <br /> Parks and Open Space (POS) employees each month; the Public Works diversity newsletter, Kaleidoscope, <br /> is distributed quarterly to all Public Works employees, and The Wastewater Pipeline is distributed quarterly <br /> to all Wastewater employees. <br /> E-mail communications are used at every level. The Public Works Director uses a-mail to communicate <br /> directly with all Public Works employees on matters of general importance and interest. Similarly, the <br /> intranet (ceonline) carries a wide range of essential information, from an online staff telephone directory to <br /> electronic versions of maps, reports, and documents. Printouts posted on bulletin boards supplement the <br /> information resources for employees without easy access to computers, although a large percentage of the <br /> department's staff has at least some access to computers. <br /> <br /> ©2004 American Public Works Association Version 5.0 <br /> 61 <br /> <br />
