~I <br /> their hiring process. Staff needing access to controlled sites will need a prox card, at which time <br /> they will no longer need to use their City ID cards. As noted above, some may need to carry both <br /> cards, if their ID card has their bus pass. As bus passes are issued to employees annually, the <br /> pass can be placed on the prox card at the time of receipt of the new bus pass. <br /> As the camera integrated with the access control system is located at the Facility Management <br /> Division office on Cheshire Ave., the current plan is for new employees to come to the Facility <br /> Management Division office to have their picture taken. When groups of current employees <br /> must be issued prox cards at the time a facility is opened or converted to a prox card based access <br /> control system, it maybe more efficient to bring the camera to an access control system terminal <br /> j at that site. Other employees that need cards replaced can come to the Division's Cheshire Ave. <br /> office. <br /> i <br /> 3. Recommendation <br /> <br /> i <br /> a. The first recommendation is that current employees needing identification and all new <br /> employees be issued prox cards. This would include employees working at access- <br /> controlled buildings as well as employees needing identification for non-access related <br /> reasons. The security features of these cards may or may not be activated at this time, but <br /> would be integrated with the access control system so that access permissions can be <br /> granted at any time in the future. <br /> b. The second recommendation is that the front of City prox cards include the City logo, <br /> j employee picture, and an employee's first name. Employee number could also appear on <br /> the face of the card, as a means for the public to identify an employee. Cards would <br /> include a color coding to indicate the employee's Department. The back of the card <br /> would have the employee's full name and employee number, if not on the front of the <br /> card. <br /> c. The recommendation is that an employee's full name be printed on the back of the prox <br /> card, as some sites believe that the full name on the front of a card is a potential personal <br /> security problem. Direction is requested from Executive Mangers on whether specific <br /> alternate combinations of an employee's name and City employee number can be used on <br /> the front of a prox card. Samples of the following alternatives will be provided for <br /> review: <br /> 1. First name and last initial <br /> 2. Name in smaller type size <br /> 3. First name only, with the employee id number used for identification <br /> <br />
