Project Review <br /> opportuntity for all department employees to get to know each other better and to <br /> learn more about the many services the department provides. <br /> Summaries of key activities are provided to all employees through monthly reports <br /> prepared by the director's executive assistant and posted on the Internet. A work <br /> plan and annual report is published each year by the department. Copies of the <br /> work plan and annual report are distributed to key staff, and all staff has access to <br /> these documents via the Intranet. <br /> <br /> j Each division has its own specific schedule of all-division meetings, workshops, <br /> safety days and/or training days to convey information and get feedback from <br /> division employees. At the section and team level, supervisors typically hold <br /> weekly or daily meetings or briefings to communicate essential information to staff <br /> and disseminate information and assignments for work to be completed that <br /> particular day. The information that is shared is geared toward the needs of the <br /> ~ work group. <br /> Information concerning job postings/vacancies is distributed via a-mail from HRRS <br /> and is posted on specific bulletin boards. Work schedules for union represented <br /> employees are also to be posted in a conspicuous location, per the AFSCME <br /> contract. Changes to existing policies or new policy language is communicated via <br /> e-mail and in many instances, is sent via courier to by regular mail to each <br /> employee. <br /> Examples of newsletters include the "Roosevelt Rumble," which is distributed to the <br /> 200+ Maintenance and POS employees each month; the Kaleidoscope, Public <br /> Works diversity newsletter that is distributed quarterly to all Public Works <br /> employees, and JOWLS, distributed quarterly to Wastewater employees. <br /> E-mail communications are used at every level. The Public Works Director uses e- <br /> mail to communicate directly with all Public Works employees on matters of <br /> general importance and interest. Recent examples of a-mail communications <br /> include the restructuring of transportation services and the financial challenges in <br /> the stormwater fund. Similarly, the Intranet (ceonline) carries a wide range of <br /> essential information, from an online staff telephone directory to electronic versions <br /> . of maps, reports, and documents. Printouts posted on bulletin boards supplement . <br /> the information resources for employees without easy access to computers, <br /> although a large percentage of the department's staff has at least some access to <br /> computers. <br /> Recognizing the importance of communication with staff, the department is <br /> considering new or expanded ways to increase communication.
