City of Eugene
Human Resource and Risk Services Policies
i
3-1030 '.PAYOFF AT TERMINATION`(Revised 09/16/02)
According to Oregon Law, in most instances, terminating employees must receive their
final paychecks on their last working day as long as the employee has given at least 48
hours notice. If employee gives less than 48 hours notice of intent to resign, the City
must issue the final paycheck within 5 working days or on the next regularly scheduled
pay day after the employee quits, whichever event occurs first. Accumulated vacation,
shift holiday, floating holiday, and comp. time payments are included in the final pay
check as appropriate. The maximum vacation that is paid off at termination will be two
times the employee's annual accrual rate at the time of termination.

i
Employees may pick up their final paycheck from Payroll. At the employee's request, the
final paycheck can be mailed to any address designated by the employee.

j 3-1040 TERMINATION/RESIGNATION PROCEDURES (Revised 09/16/02)
Termination forms include the Termination PAF, PAF Separation attachment, the Notice
of Intent Form for benefits, and a Release from Liability form if the employee desires
that his/her supervisor should provide references to other employers.
Terminating regular employees are encouraged to call the Central Payroll Office prior to
termination regarding deductions on their final paychecks.
3-:1:050 EXIT INTERVIEWS (New 11/01/98)
All City employees who voluntarily leave City employment, including trainee and
probationary employees, should be offered the opportunity to give exit feedback. The
feedback may be given in a short written questionnaire, an exit interview, or both.
Because the interview provides more in-depth information and allows for the explanation,
clarification, and discussion of information given in the questionnaire, terminating
employees are encouraged to do an interview and a questionnaire. Exit questionnaires
and interviews are always voluntary and will be treated as confidential, unless the
employee has agreed otherwise. Information from the questionnaires and the interviews
will be reported anonymously and in summary format.
Exit interviews will be conducted by employees of Human Resource and Risk Services or
the City's Human Rights office. Supervisors are responsible for informing terminating
employees about the organization's interest in receiving feedback and ensuring the
employee receives an information sheet about the process. Employees wishing to
complete a questionnaire or have an interview should contact HRRS.
Human Resource and. Risk Services
Revised: 09/16/02
_ _ _ _
