Below is a summary of the results of the bidding and the financial <br /> situation we are facing with these projects. I wanted everyone to know what's been happening so we <br /> can make informed decisions about how these two projects might eventually get built. <br /> We put the Powell project out for quotes in late October and we designated a completion date for mid- <br /> December. The bid time was approximately two weeks, but we received no quotes from any of the <br /> potential bidders we had sent materials to. The feedback we received was that the completion date was <br /> too soon, so they decided not to submit bids for the project. We elected to rebid the project with a <br /> completion date of February 218` in the hope that we would receive some quotes for the work. This <br /> time the bid went out November 8r'' and was opened November 28th. In an effort to get more quotes, <br /> we sent the bid package out to several additional firms. Despite this, we received only one quote from <br /> Pacific Waterscapes in the amount of $28,971.35. The budget for this project is currently $21,305 and <br /> includes plumbing and electrical work that was not included in the bid. In discussions with the <br /> contractor, he explained that working in wet weather was adding to the price of the work and that it <br /> would be easier to work in the summer. The requirement to pay prevailing wage for a project over <br /> $25,000 added to the price. It is conceivable that the price could be reduced to something more <br /> affordable if we were working in the summer. My suggestion for this project is to identify additional <br /> funding if possible and then rebid it in late winter or early spring for summertime construction after <br /> the Rhododendron Society convention is over. I think we will get better prices and have a more <br /> successful project overall. <br /> The Chase project went out for quotes on November 2151 with a bid opening date of December 13"'. <br /> Again, the project completion date on this project was listed as February 215` to allow for completion <br /> prior to the Rhododendron Society gathering at the park. We received one bid from Dai Chi <br /> Landscape in the amount of $53,328.00. Our current budget for this project is $20,847.00. Due to <br /> the enormous discrepancy between our budget and the bid price, I have rejected this bid. In speaking <br /> with the contractor, he noted that the site is extremely wet and that they would have to install several <br /> feet of base rock to make the structures stable. There is also significant additional cost in working in <br /> wet weather on this site, which according to Louis Kroeck, is wet year-round if much excavation is <br /> _ _ <br /> <br />
