CITY OF COBURG <br /> .SEWER PROJECT STATUS REPORT <br /> July 1, 2004 <br /> Over the past several months the expanded effort to better manage the many <br /> complexities faced in bringing sewers to the City of Coburg has begun to demonstrate <br /> results. The project team has developed an appreciation of the challenges remaining <br /> ahead and is prepared to push ahead toward achieving the City Council and community <br /> goals. Improved communications with the council and community at-large are one of the <br /> team's immediate objectives. This report is intended to be the first of a monthly effort to <br /> provide a comprehensive update of the project status. <br /> PROJECT MANAGEMENT AND ADMINISTRATION <br /> Communications <br /> <br /> . The project team is meeting weekly, Thursdays at 10 AM, during the Public Works <br /> Focus Group sessions. The time is used to plan and coordinate project activities, <br /> develo ro'ect strat <br /> p p ) egies and tactics, and review the work of team members. The <br /> meetings are open to the public, and council members are encouraged to attend if they <br /> are available. <br /> A council work session has been scheduled for August 17, 2004 to review the project <br /> status in greater detail. This report is intended to provide information about the current <br /> project activities which are under way and the overall process. The results of specific <br /> inquiries and project details will be presented at the work session. This report should <br /> establish an expectation of what we intend to know and share with you on the 17~". <br /> Scheduling and Task Tracking <br /> A comprehensive project schedule and task tracking system has been developed and is <br /> being .refined. This tool has been used previously for scheduling the engineering and <br /> design activity. Now over 500 project tasks have been identified, and task <br /> dependencies, assignments and schedules are being completed. The project <br /> management software tool utilized for this effort is capable of displaying project <br /> information in a variety of graphical and text reports. The presentation at the work <br /> session will rely upon this tool to demonstrate how the overall project is organized and <br /> being managed. <br /> Proiect Cost Accounting, Grant and Loan Administration <br /> Building a wastewater system in Coburg will far exceed any capital endeavor previously <br /> pursued by the City. The project team has identified a need to build additional <br /> administrative capacity to meet the additional requirements for project finance <br /> processing, accounting, and reporting associated with a project of this magnitude. <br /> Contract services will be utilized as needed to assure that specialized administrative <br /> responsibilities are adequately addressed. <br /> City of Coburg Sewer Status Report Page 1 of 5 7/1/2004 <br /> <br />
