HAMLIN Peggy D
From: HOSTICK Robin A
ent: Thursday, July 22, 2004 5:49 PM
p; HAMLIN Peggy D
Swbject: SBP RiverPlay donation budget
Hi Peggy -per our conversation, please set up a project account in the 187 fund for SBP RiverPlay donations. Donations
for SBP RiverPlay coming into the 187 fund will be directed to this new account. We'll touch base and identify ahead of
time any expenditures against the account that depend on the future receipt of all or part of donation "pledges." Carrie just
reminded me that the $30k OCF grant, for example, will be a reimbursement grant through the Rotary Club's foundation,
so we'll need to spend before we can get.
I looked over Emily's current budget summary and compared notes to my own tracking of expenses. Adding in grant
writing and fundraising support costs (not shown yet -I'll work w/Emily to include these in the summary), but reducing the
to-date PSF figure, we will still have $30k of projected costs (the amount of the grant) for this project over the $400k
budget (total $430k). This makes sense since it's the only substantial, confirmed revenue we've had before the project
went to bid, and allowed us to exercise 2 of the 3 alternates.
From my thinking, we could either re-assign $30k of current expenses to the new 187 account for SBP RiverPlay, or we
could essentially add the $30k as an "other" funding source for 4151, tranferring $30k from fund 187 into 4151 to cover it.
I like the latter idea, but tell me what you'd prefer.
Either way we'll be billing Rotary (who has the $30k grant sitting in their foundation account) for $30k of expenses and
receiving the grant distribution back into the 187 fund. My preference is that we bill Rotary for construction expenses, so
we'll have to wait until the contractor's first billing cycle before we can forward the documentation on to Rotary.
Regarding GJN 4151, we've marked up the latest project report and with the proper split of Alton Baker vs. Skinner Butte
expenses so that a new project number and GJN can be set up for Alton Baker Park RiverPlay. A project authorization
'arm will accompany the marked-up report.
Robin Alan Hostick
Landscape Architect

Ci#y of Eugene
Parks and Open Space Division
1820 Roosevelt Blvd.
Eugene, OR 97402
Phone (541) 682-4915
Fax (541) 682-4882
1
