SHASTA.RFT Page 1 MEMORANDUM TO: Johnny Medlin, John Etter, Dick Morgan, Tim Rhay, Doug Post FROM: Louis Kroeck DATE: November 22, 1993 SUBJECT: Shasta Ballfield Lighting Bid Proposal Bid proposal by Lantz Electric for revising contract 93-36, job #3112 to light Shasta Ballfield rather then Ascot Ballfield. BID PROPOSAL The bid is $189,875 to install a 14 pole Musco sportsfield lighting system at Shasta Ballfield. This does not include removal of the existing lighting system. The Contractor is offering a $7,500 deduction if we want to do the trenching using City staff. Trenching includes some concrete removal and replacement. CONTRACT AND BUDGET ADDITION Addition to existing contract is $81,846.50. This includes work to date at Ascot Ballfield. The original contract is $269,130. Total addition to budget is estimated at $102,000 which includes engineering, inspection, and extras to date. ANALYSIS The bid proposal for Shasta looks reasonably in line with the existing prices for Graham and Ascot. Ascot, 8 poles $129,130 Graham, 12 poles using existing wiring and electrical service 140,000 Shasta proposal, 14 poles 189,375 Price for lights (materials) only: Ascot, 8 poles $ 88,500 Graham, 12 poles 108,000 Shasta, 14 poles, includes revising existing 8 poles for Ascot and including 6 new poles, a $21,000 addition to Ascot 109,500 Rough comparison of installation (labor) cost per pole: Ascot $5,300 Graham, using existing wiring and electrical service 2,600 Shasta proposal 5,800 Since the original bid for Ascot and Graham was a low bid, $30,000 less than the next bidder, we can assume the Shasta bid is also a low bid by its comparison to existing prices. Musco Lighting has commented that this bid is a very good (low) bid. Musco is also offering an excellent material price to change to Shasta. CONCLUSION We are being offered an excellent price to revise our existing contract from lighting Ascot Ballfield to lighting Shasta Ballfield. We can expect that rebidding the project would cost around $15,000 due to having to take delivery of Ascot lights and then incur retum shipping and labor to revise them for whatever field we propose. I recommend we make and addition to our existing contract to light Shasta Ballfield.
