MEDLIN Johnny R <br /> From: MEDLIN Johnny R <br /> Sent: Tuesday, April 13, 2004 3:03 PM <br /> To: `Eugene Volunteer Coordinators' Forum <br /> Subject: 2004 Recognition Event <br /> Hi Folks, <br /> Just a couple lines here to update you on our progress for this years event. <br /> You will recall from my last e-mail to you that the execs have ratified their support for the event and that we are going to <br /> move forward to put on an event as similar as we can to that of last year. Since the group did such a great job of planning <br /> last year's event, I agreed that POS could coordinate the event and minimize people's time commitments by again making <br /> use of the planning that had already been done. <br /> I want to make sure we do all we can to address people's concerns about their time and $$ commitment. So my first <br /> comment here is for each of you to PLEASE do not feel that you MUST do anything here. I very much understand that <br /> most of you have full time positions doing other things and that time is precious. In light of that, I've asked Carrie Peterson <br /> of Parks Planning to be the coordinator for this years event. While very busy as well, she has agreed to do this if we can <br /> make it simple. I must admit I like simple so I promised her that simple is something I think we can do. <br /> Carrie will soon be sending you an e-mail inviting you to a planning meeting. Since we are going to do pretty much what <br /> we did last year there shouldn't be a lot of need for multiple planning meetings. In fact I foresee only two. One in the next <br /> few weeks and one immediately prior to the event. In this light ... the first meeting is to do a check -in with the thought that <br /> slight "tweaking" of the event might be necessary if there were things that didn't work out last year as well as we might of <br /> wished. The second meeting will be a final check -in to see what loose ends might be left immediately prior to the event. <br /> In between these two meetings Carrie will be lining up people to do the tasks needed to make the event a success. <br /> DO NOT feel that you must be at these meetings or that you MUST take on event tasks. We certainly hope people will <br /> feel they can help, but if they can't then we will still get the work done by others that volunteer or I may assign some <br /> additional staff from POS to help Carrie as needed. <br /> The one thing I can think of that each of you will need to do is to determine just who you will invite and how you will handle <br /> your RSVP for the event. Beyond that I ask each of you to help what you can but not to feel pressured at all to do it. <br /> I hope that gives you a small update and I look forward to the debrief meeting Carrie will be setting up.
