— Public Works
EUGENE
Maintenance Division
City of Eugene
1820 Roosevelt Boulevard
MEMORANDUM Eugene, Oregon 97402
(541) 687 -5220
(541) 683 -6883 FAX
Date: January 24, 1997
To: Scobert Park Advisory Committee
From: Bob Hammitt, Maintenance Director
Subject: Recommendation Process
The following is a staff recommendation of procedures designed to guide the committee through the
remainder of your work. The time frames are suggestions and can be modified by the committee, as
necessary.
January 28, 1997
At this meeting the committee will craft their recommendations to the Executive Directors of Public Safety
and Public Works. Staff will have prepared for the meeting a draft of the top priority recommendations,
compiled from the minutes of all previous meetings. Staff will also combine obviously similar ideas and
form complete thoughts for each of the idea fragments created during committee brainstorming sessions. By
the completion of this meeting, the committee will need a complete prioritized list of recommendations to
send out for public comment.
February 7, 1997
Cw Staff will mail the committee's recommendations to all persons on the interested parties list for review and
comment. There will also be bilingual bulletins posted in the Whiteaker area notifying the public that the
committee has crafted their recommendations, and that written comments will be accepted for two weeks,
up until February 21, 1997. Comments can be written and mailed or hand delivered to either the Whiteaker
Public Safety Station or Public Works Maintenance.
February 21, 1997
Deadline for public comment on the committee's recommendations.
February 24, 1997 through February 27, 1997
Staff will compile all public comment received for committee review at the final meeting. This information
will be mailed to committee members in advance of that meeting.
March 4, 1997
The final committee meeting. By the end of this meeting the committee, after taking into account all public
input received, will finalize the prioritized recommendations they wish to send to the Executive Directors of
Public Works and Public Safety.
Due to the fact that members will not have the opportunity to consider any public input presented at the
end of this meeting, staff recommends a 15 minute public forum at the beginning, rather than splitting up
the time.
Staff also recommends the committee reserve time at this meeting to discuss the group's future. Although
March 4, 1997, will be your final meeting as a formal Department Advisory Committee, the group may
choose to continue to meet informally to provide support for Scobert Park. If an informal group is
t y. formed, a representative from Public Works and /or Public Safety would be available to attend meetings
upon request.
