HELPFUL HINTS FOR THE <br /> DEPARTMENT ADVISORY COMMITTEE FORM <br /> The Department Advisory Committee form is used for both the formation of a <br /> department committee and the report back to the Citizen Involvement Committee <br /> once the task of the committee has been completed. Most of the form is self - <br /> explanatory. <br /> Generally, when you schedule a department advisory committee item with the <br /> Citizen Involvement Committee, the item takes about 20 minutes during the <br /> meeting. First you give a general presentation of the information on the <br /> form. Then there is time for CIC questions and discussion with you regarding <br /> the proposed committee. Some sections are discussed more frequently than <br /> others by CIC members. These include the Committee Type, Duration, and <br /> Proposed Membership. If questions arise regarding the Committee Task and <br /> Support Costs, they are generally concerning clarification of information. <br /> COMMITTEE TYPE <br /> During your presentation to the CIC, be prepared to explain why you have <br /> selected a particular type of committee. The committee members appreciate <br /> understanding the rationale behind your choice. If the committee type is <br /> Special Interest /Technical, explain what makes it so. <br /> COMMITTEE DURATION <br /> The CIC is very concerned that department advisory committees are not re- <br /> inventions of previous standing Boards and Commissions. There has been <br /> considerable discussion by the CIC regarding the length of time committees <br /> exist. They prefer to see distinct committees formed for short periods of <br /> time to accomplish a very specific task. <br /> By definition, a Short Term committee meets from one to three times. A Long <br /> Term committee meets three or more times, with a maximum of two years to <br /> complete its charge. <br /> PROPOSED MEMBERSHIP /MEMBERSHIP MIX <br /> The Committee Type dictates the Membership Mix. If your committee is a <br /> Special Interest /Technical committee, you need to explain the qualifications <br /> required for the members who are drawn from the Special Interest /Technical <br /> pool. <br />
