Logistics: Department Committees <br /> (continued) <br /> The formation of department committees is a two -step process. The first step <br /> is to have the approval from the Executive Managers to form the committee. <br /> The second step is to have the review of the Citizen Involvement Committee <br /> prior to recruiting committee members. <br /> 1. Receive approval from Executive Managers <br /> Complete the Department Advisory Committee template (a wordPerfect <br /> document available on disc or by MS Mail from Peg Lasken, Planning, <br /> X5481). The first section of the template will prompt you to give <br /> information regarding the committee type, duration, proposed <br /> membership, the task of the committee, and the support costs. This <br /> section of the completed templates is used for both the Executive <br /> Manager and Citizen Involvement Committee review. The second section <br /> of the form is used to report back to the CIC about how the committee <br /> was used and the results produced. <br /> Schedule your committee as an item for one of the Executive Managers' <br /> weekly meetings. You can schedule your item through Administrative <br /> Services Division, Corleen Milhorn, X5049. Timing here can be <br /> important, since you will want to coordinate this item with the next <br /> meeting of the CIC. The CIC mailout is the last week of the month. <br /> After receiving Executive Manager approval, send copies of the <br /> Department Advisory Committee template to Sheri Pearsall in the City <br /> Manager's Office and to Peg Lasken, Planning Division. Peg will <br /> coordinate the CIC agenda information. Once the CIC has approved your <br /> committee's membership, Sheri will provide you with information on the <br /> three pools. <br /> 2. Receive approval from the Citizen Involvement Committee <br /> When Executive Managers have approved the committee, schedule the <br /> proposed committee as an item on the Citizen Involvement Committee's <br /> next agenda. The CIC reviews the committee membership, its duration <br /> and its type. The contact person for the CIC is Peg Lasken, X5481. <br /> If the committee that is being formed is a Short Term committee, i.e., <br /> lasting from 1 - 3 meetings, you have two options for processing your <br /> request. <br /> - Write a memo to the CIC explaining the need for an expedited <br /> process. Attach to the memo a completed Department Advisory <br /> Committee Form. The CIC has one working week in which to <br /> formally request that you come to the CIC prior to forming the <br /> committee. If a formal meeting with the CIC is not requested, <br /> you can proceed to form the department committee using the pools <br /> to select your members. Once the committee has completed its <br /> work, you will need to complete the report section of the <br /> Department Advisory Committee Form, and sent it to the CIC <br /> through the staff contact. <br />
