MEMORANDUM <br />March 27, 1992 <br />TO: Public Works Maintenance Supervisors <br />FROM: Gene Shutt, Public Works Maintenance Manager <br />SUBJECT: PUBLIC WORKS DAY PROJECTS <br />Dick Hubbard is working with the Public Works Day Committee and is overloaded <br />with assignments. He asked for help accomplishing some of them, so I iden- <br />tified some areas in which supervisors can assist. If you have questions, <br />don't hesitate to communicate them to Dick. <br />Sandra Gleason asked will be using the new Crew Facility on Public Works Day <br />for the Job Shop. Therefore, our staff will need to vacate the crew rooms and <br />utilize the employee lunch /break area. It will be set up in the Radio Shop <br />this year. All Public Works employees will be using this location, so it may <br />get crowded at times. Staff can fix something to eat, then move throughout <br />the yard area to tables, or other places for breaks or lunch. Supervisors <br />will need to lock their offices during the work day to allow Job Shop par- <br />ticipants and visitors to look through the facility without entering private <br />offices. <br />In the past, Dave Colley coordinated reserving or borrowing the yurts from <br />Parks and the Airport. Could you please make those arrangements this year, <br />Dave? Dee Grissell can work with you, since he is now the Parks representa- <br />tive on the Public Works Day Committee. Although Parks will play a small role <br />in the event this year, it's likely they will become more involved next year <br />when the merger of the two Divisions is completed. Dee may as well get his <br />feet wet! <br />The food booths will be discontinuing hot dogs, buns, and relishes this year; <br />however, we will continue to purchase these items for staff. Would you make a <br />list of the items we have bought in the past, Richard, and provide this <br />information to Dick? List the items purchased, such as chili, sauerkraut, and <br />hot dogs, along with the amount and cost. Please estimate the number of <br />employees these purchases have fed in the past to provide Dick with an <br />approximate dollar amount for each employee. Dick will need to include some <br />other items in the total figure. You can both work together to make arrange- <br />ments to ensure these items are purchased. <br />A summary of the services provided by Maintenance from each of the funds will <br />be displayed for public viewing. An estimated percentage of each program cost <br />will be listed to show how each fund total is actually spent. For example, we <br />may have a $1,000,000 general fund for graffiti removal, off - street bike path <br />maintenance, tree maintenance, general fund department assistance, and <br />Facilities. We would estimate what percentage of the total general fund is <br />designated for each of these programs to account for entire percent of the <br />fund. We will do this for all funds and program. Susan will coordinate this <br />project by requesting fund amounts from Tammy, identifying programs from the <br />Work Order Book, and asking several supervisors to estimate percentages. This <br />will be more meaningful than running a giant cap report. Dick Hubbard will <br />need these amounts by April 8, 1992. <br />
