8. What is the timeline for submitting grant memos to the IGR Staff? <br />Response: There is no timeline for the submission of grant application notifications; notification <br />standard <br />should just be submitted in a timely fashion. For grant application authority, there is no <br />timeline for the submission to the IGR Committee. Each grant authority request is based on the grant <br />deadline and the corresponding IGR Committee meetings and full City Council meetings. Please <br />contact IGR staff as soon as you know you are interested in submitting a grant application so we can <br />work with you on a timeline. <br />9. Why is the timeline also based on the full City Council meeting schedule? <br />Response: In order for your grant application to be approved for submission, the IGR Committee <br />must give your request at least 2 supporting votes (it does not have to be unanimous). If your request <br />receives only 1 supporting vote, the grant application authority request must go to the full City <br />Council for review and action before you may apply for the grant. <br />10. What are the basic timelines? <br />Response: Again, you should always contact IGR Staff so we can let you know for your particular <br />grant, but here is how we would determine that deadline: Overall, we are looking at when the next <br />IGR Committee Meeting is scheduled; and when the AIS would be due for a full City Council <br />meeting if your grant application request does not receive 2 or more supporting votes from the IGR <br />Committee and we count back from there. We will give you the no-later-than timelines if it is close. <br />So: IGR 3/13/2009 3 <br />The IGR Committee receives the same ‘Thursday Packet’ information as the Full City Council, and <br />the grant application request memos are provided to the IGR Committee via this packet. The <br />materials for the ‘Thursday Packet’ are due no later than 12-noon on the Thursday prior to the IGR <br />Committee meeting that the grant application request memo will be presented at. <br />If the IGR Committee gives your request at least 2 supporting votes, your grant application request is <br />considered approved to move forward for submission. <br />However, if your request receives only 1 supporting vote (1 in favor, 2 in opposition), your request <br />must <br />then go before the Full City Council at the next scheduled Monday night Full City Council <br />Meeting. <br />Therefore, when determining the timeframe for getting your request to the IGR Committee, we must <br />take into account what Full City Council meetings there are that are before your grant application <br />deadline; determine what IGR Committee meetings there are that are before the AIS is due for the <br />full City Council meeting and when the memo is due to that IGR Committee meeting. <br />11. What if the IGR Committee is not meeting regularly? <br />Response: Contact the IGR staff. In most cases when the IGR Committee is not meeting regularly, <br />we send grant application requests to the IGR Committee via email. Again, your request must receive <br />at least 2 supporting votes; if it does not, it must still go to the full City Council. Please contact IGR <br />staff as soon as you know you are interested in submitting a grant application so we can work with <br />you on a timeline. <br />12. I wasn’t aware of the timelines, what if I miss a timeline? <br />Response: Call IGR staff as soon as you can. We will work with you and the IGR Committee to get <br />your grant application request before them. 13. What if we are only applying for reimbursement <br />under a formula-based grant - do I need to go through the IGR?
