We cannot charge any expense to a 9xxxx
account code. The 9's are reserved balance sheet account, fund balances, etc. I use the 9's during fund balancing. So,
please substitute 61512- Building & land rental in for 97135 and you should be able to proceed.
As far as the documentation to process the payment, I would attach a copy of the agreement (unsigned) and have Carlos
Davis sign the agreement for payment (like an invoice). Let me know if you have any other questions,
l:acej;.Risdal, .x484.1
Financial ,Analyst
Public Works
Maintenance and Pay-ks & Open Spaces
-----Original Message-----
From: AANDERUD Kris L
Sent: Thursday, September 08, 2005 7:46 PM
To: RISDAL Lacey L
Subject: Help with account code
Hi Lacey,
I was trying to process a request for a $250 payment to Giustina Land & Timber for an easement for the Mt.
Hagan Fire Road which gives us access to a communication tower/system. The account code that Keith
assigned before he left was 619-9463-97135. This account code is for a telecom reserve. When I try to budget
check it, it will not budget check to allow me to assign you as the approver. Is this because of the account code?
Do we need a D-order override? Can you assist? Am I making ANY sense?
I am trying to get this processed so the check will go out next week - as Giustina will not sign the agreement until
we provide a certificate of insurance and the annual fee of $250. Also, in the absence of an invoice or fully
executed contract, what documentation should I use to demonstrate that I was authorized to process the D-order -
which Jim Glover asked me to process verbally after he spoke with Jeff and got his go-ahead on it. Thanks.....
Kris
<< OLE Object: Picture (Device Independent Bitmap)
