City of Eugene <br /> Human Resource and Risk Services Policies <br /> 3-226 Recommendations and References for Employees <br /> <br /> i <br /> 3-226.1 Employment Verification <br /> I <br /> Employment verification requests are usually from lending institutions that <br /> require financial information. These requests must be referred to Payroll if they <br /> are for a current employee, past employee verification should be referred to <br /> Human Resource and Risk Services. <br /> i <br /> 3-226.2 Reference Checks on Employees <br /> i <br /> Human Resource and Risk Services responds to all reference checks for both <br /> current and former employees. All written or telephone requests for references <br /> should be referred to Human Resource and Risk Services. Before giving a <br /> reference, Human Resource and Risk Services will ensure that a proper Release <br /> from Liability Form is on file. If a proper waiver is NOT on file, ONLY public <br /> information including job title, salary range, and dates of employment will be <br /> provided. If a waiver is on file, Human Resource and Risk Services will refer the <br /> caller back to the Supervisor to give only factual and relevant job related <br /> information based on personal knowledge. <br /> Release from Liability forms are available in Human Resource and Risk Services. <br /> 3-227 Employee Records Policy <br /> All employee records relating to selection, recruitment, benefits, employment status, <br /> performance, discipline, and termination shall be maintained by Human Resource and <br /> Risk Services. State Statutes require that some employment records are retained up to 75 <br /> years. It is the practice of the City not to remove items from Personnel Files. <br /> Departments should send original documents to HRRS and make copies for their own <br /> department and division files. All employee records must be dated. <br /> 3-227.1 Recruitment and Selection Files <br /> Recruitment and selection files include all information and materials related to a <br /> specific job posting. <br /> Contents include materials for all applicants such as applications, testing <br /> materials, reference checks, interview materials, and screening information related ' <br /> to particular recruitments. <br /> Human Resource and Risk Services Revised: 09/16/02 <br /> <br />
