Anew Public Records Requests Fee Schedule, replacing the one <br /> adopted in 1993, will become effective February 2. <br /> These orders are the result of a lengthy review process by the Public Records Committee formed in 2001. Many of you <br /> were involved in that process and are aware that it found the responses to requests and the fees being charged were not <br /> consistent, and varied between the different departments. The revised fee schedule establishes uniform fees to be <br /> I charged by all City departments and a process for considering requests for fee waivers. The new policies and procedures <br /> <br /> j provide guidance to City staff in processing requests for public records. <br /> <br /> I <br /> The purpose of this memorandum is to call your attention to a key component of the new procedures which requires your <br /> attention. Within ten days of receipt, of this copy of the Order, each department manager or division manager (for <br /> large departments) is to designate a staff person to serve as the Public Record Coordinator (PRC) for that <br /> department or division and is to forward the name of that person to the City Recorder. <br /> Duties of the PRC are outlined in Administrative Order No 21-04-01 Sections I-3; I-4.2; I-4.3; I-5; and I-6.. The City <br /> Attorney's Office and I are currently developing the required training for the PRCs, which will be scheduled in early <br /> February. <br /> Please let me know the name of your department or division's designated Public Record Coordinator no later <br /> than Friday, January 23. <br /> Thank you in advance for helping to ensure that all requests for public records are dealt with consistently as we strive to <br /> meet the public's expectation for fair and efficient responses to their requests.
