City Manager's
Office
' City of Eugene
~ 777 Pearl Street; Room 105
~ 1VIEMORAND 1U 1Vl Eugene, Oregon 97401-2793
(541)682-5010
(541) 682-5414 FAX
(541) 682-5045 TfY
I
Date: January 10, 2003
To: All Employees
From: Jim Carlson -City Manager, pro tem
Subject: Attachment to Paychecks: Affirmative Action Policy
Professional Conduct and Prohibition Against Harassment and Discrimination Policy

j Once again, it is critical to share with you the City's commitment to creating a work environment that
is welcoming and productive for all employees. On the reverse side of this memo there is a copy of the
City's Affirmative Action Policy. Also attached to this memo is a copy of the Professional Conduct
and Prohibition Against Harassment and Discrimination Policy. I expect all City employees to
carefully read and understand their responsibilities described in both policies. I ask that you get
involved, and be pro-active in our efforts to better our work environment. I encourage you to bring
forward any issues or concerns that you have. Please keep this memo and attachments at your work
station. You will be accountable for following these policies.
As you know in September, 2001 your Department Diversity Committee Chair oversaw the placement
of Respectful Work Environment placards in your workplace. These placards were produced in
response to employees' requests to simplify and highlight key information from the Professional
Conduct and Prohibition Against Harassment and Discrimination Policy and place that information in a
visible location in each department. The placards did not replace this policy, but are one more tool for
us ~n our efforts to have aharassment/discrimination free workplace for a1L
In January, 2003 we completed our update to the Affirmative Action Plan (AAP). A copy of the
document will be distributed to all office supervisors, division managers, diversity committee chairs,
union presidents, and executive managers. Each supervisor will also have a copy of their full
department plan. If you have questions about the AAP, policy, placard or the Professional Conduct
policy, contact your supervisor or a manager in your department or HRRS.
_
