SMITH Tammy D
From: WYDRA Debbie L
Sent: Tuesday, November 20, 2007 4:24 PM
To: CARSON Jamie F; STELLER Ginny H
Cc: MURDOCH Kitty M; HUBERD John C; GOODNIGHT Brian M; WYDRA Debbie L; FELDMAN
Mary H; SMITH Tammy D
Subject: Grant 337 -Forest Legacy Grant
Jamie/Ginny,
Please add the following grant and revenue code to the GL and Budget System.
Thanks,
Debbie
MEMORANDUM
Date: November 20, 2007
From: Debbie Wydra, Financial Reporting
Subject: Grant Account Coding
To: Tammy Smith - PWA
Three fields can be created to manage a grant. The revenue account is required to specifically identify the proceeds
received from the grantor. The grant number is needed to account for expenditures chargeable against the grant. An
activity number may also be assigned, when the grant requires matching funds, or when project costs will include costs not
chargeable to the grant. All project costs would be identified by the activity number, but only recoverable grant
expenditures would also be identified by grant number.
I have assigned the following distribution codes for the Forest Legacy Grant.
Grant Description: Oregon Department of Forestry grant for the acquisition of the South Eugene Hills Phase I
parcel located in the Forest Legacy Area in Lane County. This acquisition will protect an Oregon White Oak
woodland from development; will allow the City of Eugene to actively manage the woodland to improve its overall
health; and will provide public access for hiking.
In the following distribution code examples, X=variable numbers, 0=required Zero.
Grant (task order) amounts are $460,000.
Revenue Account: 43337 Forest Legacy Grant
(Distribution code 43337-XXX-XXXX-000000-000)
Grant Number: 337 Forest Legacy Grant
(Distribution code XXXXX-XXX-XX)CX-XXXXXX-337)
Activity Number: X)O(XXX Forest Legacy. Grant
(Distribution code XXXXX-XXX-X)CXX-XXXXXX-XXX)
Please send me a copy of the signed grant agreement for an audit trail and to comply with external audit demands.

The distribution codes will be activated for FY2008.
i
