Memorandum

Date: February 3, 2016
To: Vicki Silvers
Cinimint Harper
From: Bryan Root

Subject: Project cost increase for GJN 4954
Project: Skinners Butte Lighting Improvement

This memo is to notify purchasing that the above mentioned project will over run the original bid by more
than 25%. The original bid from Lantz Electric was $139,222.

This overrun occurred when we encountered that the existing power source to Lamb Cottage was out of
code. While we had identified issues internal to Lamb Cottage, we later discovered that there was a huge
gap in the service coming into the building as no ground wire was provided. Under electrical code we
would not be able to take the service live without this critical feature. It was expensive, but an absolutely
essential add to the project from a safety and code compliance standpoint. To be honest, we had no
choice but to bring this connection into compliance.

The electrical item listed above has already been brought to the attention of Facilities and Parks. Emily
Proudfoot of Parks has secured funding for this additional work. While it’s not reflected in the Life to Date
Capital Project Activity report, she has also secured funding from Facilities to help with the additional
electrical work. The electrical work totals $29,804.25.

The most recent change order included 5 line items. Four of these items are what I would call common
field changes during construction. The total cost of these four items is $6,201.92. This amount is covered
by the project contingency $13,635.50. After the change order the project contingency will be:
13,635.50 - 6,201.92 = $7,433.58

This memorandum is soling meant to be for your information, additional funding will not be required.

Feel free to give me a call at ext. 5300 if you have questions.
