Broadway <br /> Eugene, OR 97401 <br /> RE: Project Billing Summary and Proposal for Additional Fee for <br /> Pedestrian Refuge, Sidewalk and Access Ramp Improvements <br /> City Job # 4137. <br /> Dear Terry: <br /> Thank you for giving Ford & Associates the opportunity to provide design services to the <br /> City of Eugene for improvements that include a new driveway, sidewalk, refuge island on <br /> Franklin Boulevard, and access ramps at the intersection of Alder Street. <br /> This letter summarizes our billing for these services. We also summarize proposed <br /> additional services that may arise. <br /> Project Budget Update <br /> To date, the Oregon Department of Transportation has received an Access Permit <br /> application, which included the construction drawings for the improvements. We have <br /> spent $17,333.70 to date on these efforts. Our original contract amount was $17,950. <br /> Our services included coordination of the design with the City of Eugene engineering and <br /> planning staff, as well as the Oregon Department of Transportation. <br /> Recently, ODOT requested additional information, which is being assembled by the City <br /> and our office. <br /> Description of Overage Amount <br /> The overage amount to date totals $3,348.75. <br /> The majority of the overage amount is attributed to research required to write easements <br /> and the Joint Access and Maintenance Agreement required by the Access permit <br /> application. This work was not included in the original contract but was approved in order <br /> to expedite the submittal of the application. Considerable time was spent facilitating <br /> communication between property owners and their legal representatives in preparation for <br /> a Joint Access and Maintenance Agreement and other easements. The easements and <br /> agreement were written by Jim Colton, PLS, in our office. <br /> The overage amount also includes time for revisions to plan sheets due to the reduction <br /> of the original scope of new sidewalk construction as well as time allocated for a redesign <br /> the access ramps. <br /> The current billing results in a total of $20,682.45 <br /> P.O.
