OLIC wt„,.
1
Aaron Reddick
1711 Patterson #6
Eugene, OR 97401
June 14, 2003
Dear Mr. Reddick,
Pursuant to our initial discussions regarding police staffing at your planned event, I am sending
an amended staffmg plan for Hempfest 2003. You will be pleased to note this staffing plan
significantly reduces the costs to your event from the original $5500.00 estimate down to
$4158.00.
The downward cost adjustment reflects staffing reductions in the following areas;
Traffic control - 2 police personnel instead of 4 will be assigned to direct traffic at the entrance to
Alton Baker Park from Country Club Road . Their hours will start at 10:30AM and end at
5:30PM unless requested by a designated event representative to extend beyond that time.
Adjacent intersections will not be staffed and traffic will be managed with the existing traffic
control devices. During peak hours you may experience congestion in the approaches to the park
Event foot patrols - Instead of 4 officers working from start to finish, 2 police officers will begin
at 8:30AM until 11:30AM. 2 additional officers will be added at 11:30AM. The contingent of 4
officers will work until 11:OOPM.
I trust you will find these reductions in costs and staffing agreeable. Please contact me at 682-
5362 to finalize these arrangements. Unless additional discussions are needed around police
staffing, Parks and Open Spaces will facilitate billing for your event. Best wishes for a successful
event.
Sincerely,
St en Swenson, Captain
Eugene Police Department
cc: Johnny Medlin
Sarah Medary
Patrol Division
777 Pearl Street, Room 107 • Eugene, Oregon 97401
(541) 682 -5154
