to track the multiple donors as they come in (generally they are not all received at one time, but rather
over a period of months.) Similarly a volunteer may be participating in a one -time only project or an
ongoing service.
Inventory: "Inventory", for the purposes of this donation database refers to a list of pre - selected
donation opportunities that are available, referred to internally as the "gift catalog." This inventory is
essentially a complete list of items and projects available for donation from bricks, to benches, to park
renovations. We need the ability to easily add to the inventory as new items become available and
the system should provide some automation of inventory reduction once an item is purchased. We
also need to allow for small projects and large projects with flexibility within the "park ", "project
name ", "phase or area" and "location description" fields with a large project utilizing all those fields
and a smaller neighborhood park only requiring the "park" field.
FUNCTIONALITY
The key to the functionality of this information from a user standpoint is the ability to view the
information on screen and its relationship between the three components. For example, once a donor
makes a donation it should become linked to the item and we should be able to view all the
information related to the three components of entry together. The history of that donor should also
be immediately viewed on screen as a new donation is made. The user must be able to quickly sort,
select, and access all data entered into the system.
The following diagram details the links between the various components. Essentially it is the donation
activity, the volunteer project, and the funded project that becomes the key connection between the
components. In other words, a donor can exist without an inventory item and an unfulfilled inventory
item can exist without a donor, but it is the act of the donation that links the records together.
Relationship Links Between Components
Donation
Donor Data Inventory Data
Activity
Volunteer
Volunteers
(donor data + volunteer specific) Project
Funded (occasional link)
Granting Agency 4 Inventory Data
(donor data + grant specific) Protect
Page 2 of 4 POS Donation & Volunteer Database Scope 2
